Job Title: Legal Administrator
Location: Los Angeles, CA 90071
Salary: $55,000 annually
Hours: Monday to Friday, 30 - 40 hours per week
Location: 90017

Position Overview:

The Legal Administrator will oversee the duties of legal assistants and file clerks, reporting to assigned attorneys or the lead legal assistant. This role involves managing the in-house litigation calendar, providing direct support to multiple attorneys, handling legal document filing and serving, telephone communication, scheduling medical examinations and depositions, and digitizing mail into electronic files.

Responsibilities:

Litigation Calendar Management: Enter all new conferences, hearings, depositions, meetings, and appointments into the calendar. Ensure accuracy in date-sensitive mail received from the Firm’s scanning center.
Mail Processing: Log and process incoming mail appropriately.
Deposition and Court Scheduling: Schedule depositions, court reporters, conference rooms, and interpreters.
Document Filing and Serving: File and serve documents such as pleadings, correspondence, settlements, awards, and orders. Scan executed proof of service and documents into the electronic file.
Electronic Filing (E-Filing): Electronically file pleadings, exhibits, NOR’s, and specified forms with the WCAB. Scan all related documents into the electronic file.
Doctors’ Examinations Scheduling: Schedule doctor appointments for applicants as requested by attorneys. Coordinate applicant travel reimbursements, interpreters, and update appointment spreadsheets.
Depositions Scheduling: Schedule depositions, prepare necessary checks, arrange for court reporters or interpreters, and confirm deposition details in advance.
Subpoenaed Records: Subpoena records as directed, and ensure receipt.
Trial Exhibits: Prepare trial exhibits, serve parties, and file exhibits with the Board as required.


Communication: Communicate with assigned attorneys, parties, clients, and colleagues via phone or email as per procedures.
Support Functions: Provide support to the Office Managing Partner (OMP) as needed and act as a liaison for office equipment and services.

Accuracy and Production: Ensure accurate data entry and document production.
Timeliness: Meet all established deadlines.
Team Collaboration: Be a cooperative team player.
Knowledge: Demonstrate understanding of Workers’ Compensation and related rules.
Measurement:

Accuracy and Timeliness: Evaluate data entry accuracy and adherence to deadlines.
Collaboration: Assess willingness to assist others when needed.
Technology and Procedure Familiarity: Gauge familiarity with firm technology and procedures.
