Job Overview
The Account Coordinator / Sales Assistant is a key member of our sales team, providing essential administrative support and customer service throughout the sales and production process. Reporting directly to the VP of Sales and General Manager, this role supports Account Executives and the larger sales team, ensuring smooth workflow and exceptional client communication.
Key Responsibilities
• Sales Support: Assist Account Executives and the sales team by screening inbound calls, processing orders, and proofreading documentation.
• Order Management: Write, enter, and manage order paperwork to maintain project flow, coordinate with accounting, and track project milestones.
• Client Communication: Engage with clients to provide updates, follow up on project status, reach out on expiring quotes, and assist with customer service as directed by Account Executives.
• Project Research: Conduct research for quotes on similar projects, gather data for reorders, and verify pricing and quantities for repeat orders.
• Documentation: Assemble, organize, and maintain licensing, trademark, and manufacturing paperwork. Manage order confirmations and project files.
• Shipping Coordination: Monitor shipping reports, coordinate with factories, ensure shipping instructions are accurate, and file shipping quotes for Account Executives.
• CRM Management: Update and maintain CRM records, input new customer data, and ensure the accuracy of customer records.
• Sample Management: Maintain a catalog binder of all sample programs, fulfill catalog and sample requests promptly, and monitor sample shipments.
Additional Responsibilities
As the Account Coordinator gains experience and demonstrates proficiency, the role will expand to include further duties and responsibilities within the sales team.
