Position Summary:

The Accounting Assistant will support the accounting department in maintaining accurate financial records and ensuring smooth financial operations. This role involves performing a variety of accounting and clerical tasks, including managing invoices, assisting with payroll processing, reconciling accounts, and maintaining general ledgers. The ideal candidate is detail-oriented, highly organized, and has a basic understanding of accounting principles.

Key Responsibilities:

Accounts Payable & Receivable:

Process and record incoming invoices and payments.
Verify accuracy of financial documents and ensure proper approval is obtained.
Follow up with clients and vendors regarding outstanding invoices.
Assist in managing vendor relationships and resolving billing discrepancies.

Data Entry & Record Keeping:

Accurately enter financial data into accounting software and spreadsheets.
Maintain and update accounting records, files, and databases.
Ensure the timely and accurate posting of transactions.
Bank Reconciliation:

Assist in reconciling bank statements and company accounts.
Verify and balance financial transactions to ensure accuracy.

Payroll Support:

Assist with payroll processing by entering employee hours and deductions.
Maintain employee payroll records and assist with payroll-related inquiries.
Financial Reporting:

Assist with the preparation of financial reports and statements as needed.
Prepare supporting documentation for audits and assist with audit preparations.
Administrative Support:

Provide general administrative support to the accounting team.
Assist with filing, scanning, and organizing financial documents.
Answer phone calls and respond to emails related to accounting inquiries.
Compliance & Procedures:

Ensure compliance with company policies, accounting procedures, and relevant financial regulations.
Assist in maintaining proper internal controls to safeguard company assets.
Other Tasks:

Perform other accounting and administrative duties as required by the department or management.

Qualifications:

Education: Associate’s degree in Accounting, Finance, or related field (or equivalent experience).

Experience:

Previous experience in an accounting or administrative role preferred.
Knowledge of accounting principles and basic bookkeeping practices.
Skills:

Proficiency in accounting software (e.g., QuickBooks, Xero, Sage, or similar) and MS Office Suite (especially Excel).
Strong attention to detail and accuracy in data entry and financial reporting.
Excellent organizational and time-management skills.
Ability to handle confidential financial information with discretion.
Strong written and verbal communication skills.
