We are looking for an Accounting and Human Resources Assistant. The assistant plays a pivotal role in supporting the seamless operation of the Finance and Human Resources Department. This multifaceted position requires a meticulous, proactive, and highly organized individual who can balance responsibilities across both financial record-keeping and HR functions with precision and efficiency. Must be analytical, have a strong understanding of basic accounting principles, and resourceful in handling ambiguous situations with limited data or information. The successful candidate will have the opportunity to refine their expertise in both accounting and human resources, contributing directly to the operational success of Our Company
Key Responsibilities:
Accounting Duties
Data Entry & GL Coding: Accurately enter financial data into accounting systems, ensuring completeness and accuracy. Assign appropriate General Ledger (GL) codes to transactions, ensuring proper classification and alignment with company financial reporting standards.
Accounts Payable: Process invoices, verify financial data, and prepare payments for approval. Must be able to understand three-way matching of purchase orders, invoices, and receipts including using our ERP system to extract data when needed to ensure accurate payment processing.
Accounts Receivable: Prepare customer invoices, monitor and track accounts receivable, and follow up on outstanding invoices.
Record Keeping: Maintain organized and updated financial records and documents.
Reporting: Generate reports and summaries as required by management.
Maintaining Spreadsheets: Keep various financial spreadsheets up to date, ensuring accuracy and accessibility.
HR Assistance Duties
Onboarding New Employees: Assist with the onboarding process, including preparing new hire documentation, setting up employee files, and preparing orientation sessions.
Payroll Support: Assist in preparing payroll helping to ensure accurate pay runs, accruals and other related tasks.
HR Record Keeping: Maintain organized and up-to-date HR records, including employee files and HR spreadsheets.
Communication: Serve as a second point of contact for employee queries related to payroll, benefits, and HR policies.
