Job Summary:
We are seeking a highly organized and personable Administrative Assistant / Receptionist to join our team. This role is essential in ensuring the smooth day-to-day operations of our office by providing administrative support and acting as the first point of contact for clients, visitors, and employees. The ideal candidate will have excellent communication skills, strong attention to detail, and a proactive approach to problem-solving.
Key Responsibilities:
• Greet and welcome visitors
• Answer and direct incoming phone calls, emails, and inquiries.
• Manage the reception area, ensuring it remains tidy and presentable.
• Assist in scheduling meetings, appointments, and conference calls.
• Maintain office supplies by ordering and replenishing stock as needed.
• Handle incoming and outgoing mail, packages, and deliveries.
• Support Estimating department with administrative tasks, including filing, data entry, and document preparation.
• Assist in coordinating travel arrangements and accommodations for employees as needed.
• Process invoices, expense reports, and maintain financial records.
• Maintain and update company databases and contact lists.
• Assist in organizing company events, meetings, and training sessions.
• Ensure compliance with company policies and procedures.
Qualifications & Skills:
• Strong organizational and multitasking abilities.
• Excellent verbal and written communication skills.
• Ability to work independently and collaboratively in a team environment.
• Professional demeanor and customer service-oriented mindset.
• Experience in a manufacturing or lighting industry is a plus but not required.

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
2+ years of experience in an administrative or receptionist role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
