Job Summary Administrative Assistant - 5+ years’ experience required
We are seeking a self-starting, reliable, organized, and mature Administrative Assistant to support 2 Executives and Office Manager 6 midday hours (10am-4pm) for a total of 30 hours a week on-site in our small flexible Del Mar office. With confidentiality a high priority, the early project tasks in this position will include downsizing and moving offices, organizing, purging, and archiving records, and disposing of all unwanted items in a variety of outlets. Routine activities include clerical, scheduling and office support as requested, evolving to maintaining records, website and social media accounts, and providing general administrative support. Verifiable references and background will be necessary.
The right candidate must be comfortable with getting dirty and demonstrate strong physical stamina to handle heavy items while sometimes working in a basement environment. Local to zip code 92014 and surrounding areas is a priority.
Responsibilities
• Lead the office move, organize and purge materials and records project.
• Organize and maintain paper and electronic filing systems in the office
• Catalogue and archive items and documents
• Create, record detailed, accurate information and enter databases and spreadsheets
• Assist with office common areas as needed, manage office supply inventory
• Occasional accounting and vendor management
• Handle incoming and outgoing mail and packages
• Perform a variety of administrative and clerical tasks
• Provide reception coverage and help with visitors
• Carry out other duties and special projects as needed
• Maintain high standards and confidentiality
