Overview:
The Workers’ Compensation Administrative Assistant provides essential support to the Workers’ Compensation (WC) department by managing discovery requests, preparing legal documents, and maintaining organized attorney records for each case. This role assists the WC Manager, supervisors, and paralegals with administrative tasks to ensure efficient case management and compliance with legal standards.
Essential Functions:
Client Communication & Authorization Packets:
• Prepare and send authorization packets to new clients and follow up as necessary.
Document Preparation & Filing:
• Prepare and file Applications with the Workers’ Compensation Appeals Board (WCAB).
• Compile and send medical records to experts and document productions to defendants.
• Process Notice of Representations by updating service lists and serving relevant documents.
• Draft denial letters and informal status conference notices for distribution.
Court-Related Support:
• File and serve medical-legal reports, including EAMS filing through WCAB.
• Input court notice dates into the case management system (SIS).
• Review and update service lists based on Minutes of Hearing and appearance sheets.
Meeting & Conference Preparation:
• Compile documents for depositions, informal meetings, and conferences (e.g., Informal Conferences every Thursday).
• Prepare Informal Conference folders and support notice creation and service.
Administrative Support:
• Handle departmental scanning requests and save records in designated systems (e.g., GW).
• Process copy fee requests and prepare related documentation.
• Manage subpoena requests, calculate copy fees, and prepare invoices for compliance.
Calendaring & Record Maintenance:
• Maintain attorney calendars based on directives from managing attorneys.
• Update official records, service lists, and directories to reflect accurate representation and case status.
Qualifications & Skills:
• Proficiency in managing legal documents and filing processes, preferably in a workers’ compensation environment.
• Strong organizational and time-management skills to handle multiple tasks efficiently.
• Attention to detail and accuracy in document preparation, filing, and record maintenance.
• Proficient in Microsoft Office Suite and case management systems (e.g., EAMS, SIS).
• Ability to work independently in a remote environment while maintaining communication with team members.
