A Distribution Specialist is responsible for managing the logistics of distributing goods, materials, or products from warehouses or distribution centers to customers or retail locations. This role involves overseeing the entire distribution process, ensuring products are delivered on time, and managing inventory and shipping operations.
Key Responsibilities:
Order Fulfillment: Receive, process, and fulfill orders by picking, packing, and preparing items for shipment. Ensure that the correct products are sent to the right destinations.
Inventory Management: Monitor inventory levels to ensure that stock is adequately maintained. Assist with inventory tracking, conducting regular counts, and helping resolve discrepancies.
Shipping and Receiving: Coordinate the shipment of goods to customers, vendors, or stores. Ensure that incoming shipments are accurately received, inspected, and recorded.
Logistics Coordination: Work with shipping companies, freight carriers, and internal teams to ensure timely and cost-effective delivery of products. Schedule and track shipments, ensuring compliance with delivery time lines.
Documentation and Reporting: Prepare shipping and receiving documentation, including bills of lading, packing lists, and invoices. Maintain accurate records of shipments and returns.
Customer Communication: Communicate with customers regarding the status of orders, shipment delays, and product availability. Address customer inquiries or issues related to the distribution process.
Quality Control: Ensure that products meet quality standards and are packaged properly for transport. Inspect goods for damage or defects before they are shipped.
Return Management: Manage the process of handling returns, including organizing the return of defective or unsold products, and ensuring proper credit or replacement.
Compliance and Safety: Follow all safety guidelines and compliance regulations related to handling and transporting goods. Maintain a safe and organized distribution area.
Process Improvement: Identify areas for process improvement within the distribution and logistics systems. Work with management to streamline operations and reduce costs.
Required Skills:
Attention to Detail: Ability to handle inventory and orders with accuracy to prevent errors in shipments or inventory records.
Organization: Strong organizational skills to track multiple orders, shipments, and inventory.
Communication Skills: Ability to communicate clearly with customers, vendors, and internal teams.
Problem-Solving: Ability to resolve shipping, inventory, or delivery issues efficiently.
Technical Skills: Familiarity with inventory management software, shipping platforms, and basic office software (e.g., Microsoft Excel).
Physical Stamina: Ability to handle physical tasks, such as lifting, packing, and moving goods.
Education & Experience:
Education: A high school diploma or equivalent is typically required; additional certifications in logistics, supply chain management, or warehouse operations may be beneficial.
Experience: Prior experience in logistics, shipping, warehouse management, or supply chain operations is often preferred.
Work Environment:
Distribution specialists typically work in warehouses, distribution centers, or office settings. They may be required to work in shifts, including evenings or weekends, depending on the organization's operational hours.
