Our client is growing and looking to hire a Document Control Manager.
Position Summary: The Document Control Manager is responsible for overseeing the management and maintenance of all documents, records, and files related to production, quality control, compliance, and other operational activities. This role ensures that documents are properly organized, easily accessible, and comply with industry standards, regulations, and company policies. The Document Control Manager will also play a key role in improving document management systems, ensuring data integrity, and maintaining accurate records to support operational efficiency and regulatory compliance.
Key Responsibilities:
Document Management:
Oversee the creation, revision, distribution, and storage of all company documents, including production records, standard operating procedures (SOPs), work instructions, and technical specifications.
Ensure all documents are properly labeled, indexed, and filed according to industry standards and company procedures.
Implement and maintain a document control system (electronic or paper-based) to ensure efficient and secure document retrieval and storage.
Compliance and Quality Control:
Ensure that all documents meet regulatory and compliance requirements, including industry-specific standards.
Conduct regular audits of document control processes to ensure compliance with internal procedures and external regulations.
Collaborate with the quality assurance team to ensure that controlled documents are up-to-date and aligned with current quality standards.
Document Review and Approval:
Manage the document approval process by coordinating with relevant departments to review and approve new or revised documents.
Maintain a version control system to ensure that only the latest approved versions of documents are used in production and operations.
Ensure proper documentation and approval workflows for engineering changes, design modifications, and other critical updates.
Training and Support:
Train employees on document control procedures, systems, and best practices.
Provide ongoing support to departments in understanding and implementing document management policies and procedures.
Serve as a point of contact for any document-related inquiries and provide assistance in resolving issues related to document access, updates, and compliance.
Continuous Improvement:
Monitor and assess document control processes and systems for opportunities to improve efficiency, accuracy, and security.
Recommend and implement enhancements to the document control system, including the use of new technologies or automation tools to streamline workflows.
Maintain metrics and key performance indicators (KPIs) to track the effectiveness and performance of the document control system.
Archiving and Retention:
Ensure that documents are archived and retained according to legal, regulatory, and company requirements.
Develop and implement document retention schedules to manage the lifecycle of documents, ensuring proper disposal or transfer of outdated records.
Oversee the proper handling and protection of sensitive or confidential information.
Qualifications:
Bachelor’s degree in Business Administration, Information Management, Manufacturing, Engineering, or a related field.
Experience:
Minimum of 5-7 years of experience in document control or records management, with at least 2-3 years in a managerial role within a manufacturing or similar industry.
