This Executive Assistant Position Features:

Assist company leadership team in managing the corporate headquarters office, as well as other miscellaneous office management duties including event planning, arranging travel, and act as primary contact for office maintenance vendors. Act as liaison for IT consultant and employees, assist Human
Resources manager.
Tasks / Responsibilities:
Office Management
• Manage front desk (Mail, occasional phones calls, shipping)
• Primary office vendor contact
• Primary purchaser of supplies for office and shop
• Code all administrative invoices for accounts payable
• Maintain security access system
• Perform notary services
• Book and manage conference or event registrations, airfare and hotel for staff as requested
• Special events planning and meeting coordination
• Maintain promotional merchandise inventory

IT Support
• Primary liaison for outside IT consultant and employees
• Attend weekly and monthly meetings with IT consultant
• Equipment purchase, set-up
• Facilitate new initiatives with consultant
• Manage staff network and equipment on-boarding/off-boarding process
• Manage all office equipment (postage meter, copiers, etc.)
Leadership Support
• Board meeting coordination and maintenance of corporate governance software
• Assist with annual employee ownership plan-year initiatives
• Approve non-union timesheets and PTO requests for assigned group
• Manage subscription/membership renewals
• Special projects as requested
HR Support
• Set up new non-union employees - work with IT to set up new hire laptop and other equipment
Experience- Minimum & Preferred Qualifications:
Must be tech savvy, organized, reliable, self-motivated, courteous, patient, and compassionate. Must be
detail oriented, have excellent collaboration skills, and be able to prioritize and perform multiple projects
concurrently.
Skill Requirements
• Minimum of 10 years of office management, IT, and executive support

Education/Certification/Training
• Have a current notary license or be willing to become a notary
