We are hiring an Executive Administrative Assistant.
RESPONSIBILITIES:
* Manage the CEO's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
* Prepare and maintain Excel reports, ensuring accuracy and timely updates.
* Schedule and organize meetings, including preparing agendas, coordinating logistics, and ensuring all necessary materials are available.
* Plan and execute company events, from small meetings to large corporate events.
* Take detailed minutes during meetings and distribute them promptly.
* Handle confidential information with discretion and maintain the highest level of professionalism.
* Assist in the preparation of presentations, reports, and other documents as needed.
* Act as a liaison between the CEO and other departments, ensuring smooth communication and workflow.
* Perform general administrative tasks such as answering phones, handling correspondence, and managing office supplies.
* Support the CEO with any additional tasks or projects as required.
QUALIFICATIONS:
* Minimum 5 years of administrative support experience.
* Advanced Excel skills (VLOOKUP and Pivot Tables), and MS Office Suite.
* Excellent organizational and time-management skills.
* Strong attention to detail.
* Exceptional communication and interpersonal skills.
* Ability to multitask and prioritize effectively.
* Discretion and confidentiality in handling sensitive information.
HUGE PLUS:
* Bachelor's degree in Business Administration, Management, or a related field.
* Bilingual in Spanish or Mandarin.
* Experience in event planning and coordination.
