Job Summary:
The Executive Assistant provides high-level administrative support to Executive by managing schedules, handling communications, coordinating meetings, and ensuring smooth day-to-day operations. This role demands discretion, excellent organizational skills, and the ability to handle confidential information effectively.
Key Responsibilities:
Administrative Support:
Manage and maintain the executive's schedule, including appointments, meetings, and travel arrangements.
Prepare agendas, presentations, and documents for meetings.
Handle correspondence on behalf of the executive, including emails, letters, and phone calls.
Coordinate internal and external meetings, including logistics and follow-ups.
Project Management:
Assist in planning and executing special projects and initiatives.
Track progress on key tasks and provide updates to the executive.
Conduct research and compile data to support decision-making.
Communication and Liaison:
Act as a point of contact between the executive and internal/external stakeholders.
Ensure timely communication and relay messages as appropriate.
Build and maintain relationships with clients, vendors, and team members.
Travel and Event Coordination:
Arrange travel itineraries, accommodations, and transportation.
Plan and coordinate events, off-site meetings, and conferences.
Office Management and Miscellaneous Tasks:
Organize and maintain confidential files and records.
Handle expense reporting and budget tracking for the executive.
Provide general administrative support to the broader team as needed.
Qualifications:
Education and Experience:
Bachelor’s degree in Business Administration or a related field (preferred).
3-5 years of experience as an Executive Assistant or similar role.
Skills and Competencies:
Exceptional organizational and time-management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
Strong written and verbal communication skills.
Ability to prioritize tasks and work under pressure.
Discretion and professionalism in handling sensitive information.
