Job Title: Executive Assistant to the EVP & COO
Reports To: Executive Assistant to President/CEO
Department: Executive
FLSA Status: Salaried Exempt
Salary Description: $55,000 - $60,000 annually - based on experience
Schedule: Monday – Friday 8:00am to 4:30pm / 37.5-hours weekly
**There is some work from home flexibility that is determined by the manager. This is not a full-time remote position - required to work in the Nashville office a minimum of two days per week and as needed with some travel to out of town/state meetings required.
Manage the EVP/COO's office administration, including calendar management, expense reports, correspondence, meeting materials, and travel arrangements.
Ensure the EVP/COO's schedule runs smoothly, acting as gatekeeper and facilitating communication between the EVP/COO and internal teams.
Keep the EVP/COO informed of upcoming commitments and follow up as needed.
Handle communications on behalf of the EVP/COO with external groups like AICPA, Prometric, state CPA societies, and regulators.
Coordinate meeting logistics, including reservations, menus, invitations, and AV needs with internal staff.
Assist with contract review and approvals alongside the legal team.
Support document management and maintain organization of important files.
Help with enterprise risk management efforts alongside the EVP/COO and Director of Risk and Compliance.
Administer the organization’s membership database, ensuring accurate and timely updates.
Assist with the Committee Handbook, State Board Listings, and member records.
Generate reports and provide data support to business units as needed.
Support the Communications Department with event registration, tracking, and reports.
Assist with event planning, producing badges, certificates, and itineraries, and providing onsite support.
Help with the Vice Chair’s committee appointment process.
Support the Security Agreement process for system access and liaise with boards of accountancy.
Assist with the distribution and sales of CPA examination materials.
Foster positive relationships with stakeholders, including state board members, leadership, and internal teams.
Provide customer service and resolve concerns following organizational policies.
Occasionally back up the Front Desk and assist with visitor badges.
Perform other duties as assigned.
