Job Overview

Key Responsibilities
• Front Desk Management: Answer and direct calls on the main office phone lines, greet clients, vendors, and visitors, and maintain the daily visitor log.
• Communication Management: Manage incoming and outgoing correspondence, including emails and phone calls, ensuring timely and professional responses.
• Scheduling & Coordination: Organize meetings, events, and appointments, coordinating logistical needs.
• Documentation & Reporting: Prepare accurate reports, presentations, and other documents, maintaining confidentiality as necessary.
• Record-Keeping: Organize and maintain physical and digital files for easy accessibility and security.
• Customer Service Support: Provide assistance in handling customer inquiries and resolving issues with professionalism and tact.
• Administrative Assistance: Support departmental projects by tracking deadlines, preparing documents, and contributing to team goals.
Skills and Qualifications
• Proven customer service experience, including handling a large volume of calls.
• Excellent written and oral communication skills.
• Strong organizational skills with the ability to multitask and prioritize effectively.
• Proficiency in MS Outlook, TEAMS, and Excel.
• High level of attention to detail and accuracy.
• Professional demeanor with the ability to handle difficult situations tactfully.
• Problem-solving skills with a proactive approach to administrative challenges.
