Our client is looking to hire a Front Office Administrator. This role will manage the day-to-day operations of the front office. This position involves a variety of administrative and customer service tasks that help ensure the smooth functioning of the office environment.
Key Responsibilities:
1. Reception and Customer Service:
o Greet and welcome visitors, clients, and employees as they enter the office, ensuring a friendly and professional atmosphere.
o Answer incoming phone calls, emails, or messages, and direct them to the appropriate departments or individuals.
o Provide general information about the company’s services, office policies, and procedures to visitors or clients.
2. Scheduling and Appointment Management:
o Manage and schedule appointments, meetings, and conference room bookings for staff and clients.
o Coordinate and maintain calendars for executives, managers, or department heads.
o Remind employees and clients about upcoming appointments or meetings.
3. Administrative Support:
o Perform various clerical tasks such as data entry, filing, and maintaining office records and documents.
o Prepare and manage reports, letters, and presentations as needed.
o Assist with preparing materials for meetings and events, including copying, scanning, and organizing files.
4. Managing Office Supplies and Equipment:
o Monitor office inventory, including stationery, office supplies, and equipment, and ensure items are replenished as needed.
o Coordinate with vendors or suppliers for purchasing supplies and equipment.
o Ensure that office equipment, such as printers, computers, and phones, is functioning properly and request maintenance or repairs when necessary.
5. Mail and Courier Management:
o Receive, sort, and distribute incoming mail, packages, and deliveries.
o Prepare and dispatch outgoing mail and courier packages.
6. Administrative Coordination:
o Coordinate between different departments, ensuring smooth communication within the office.
o Provide support to other administrative teams as required, especially during busy times.
o Maintain an organized and clean front office area, ensuring it remains presentable for visitors.
7. Basic Accounting and Billing Support:
o Handle basic billing tasks, such as processing invoices, purchase orders, and payments.
o Keep track of office expenditures and assist in preparing financial reports.
8. Confidentiality and Compliance:
o Maintain confidentiality regarding sensitive information and documents.
o Ensure adherence to office policies, health and safety regulations, and other compliance standards.
9. Customer Assistance:
o Assist clients with inquiries or concerns, ensuring issues are resolved or directed to the appropriate personnel.
o Provide clients with a positive first impression of the company, building strong customer relations.
Education and Training:
High School Diploma or GED is required; a college degree or administrative certification is a plus.
