Job Overview:
We are seeking a detail-oriented and highly organized HR Benefits Specialist to join our Human Resources team. The HR Benefits Specialist will be responsible for managing employee benefits programs, ensuring compliance with federal and state regulations, and providing excellent support to employees regarding their benefits options. The ideal candidate will possess strong communication skills, a deep understanding of benefits administration, and the ability to work collaboratively in a fast-paced environment.
Key Responsibilities:
Benefits Administration:
Administer employee benefits programs, including health, dental, vision, life insurance, retirement plans, and wellness programs.
Coordinate with insurance providers, third-party administrators, and brokers to ensure timely processing of benefits enrollments, claims, and changes.
Maintain accurate records for all benefits programs, ensuring proper documentation for audits and compliance.
Employee Support:
Act as the primary point of contact for employee inquiries regarding benefits, assisting with enrollment, plan changes, and claims issues.
Provide clear, timely communication to employees about their benefits options, deadlines, and plan changes.
Educate employees on the details and advantages of available benefits packages.
Compliance and Reporting:
Ensure compliance with all federal, state, and local benefits-related regulations, such as ACA, HIPAA, ERISA, COBRA, and FMLA.
Assist with the preparation of required regulatory filings and documentation, including 5500 filings, ACA reporting, and annual benefit audits.
Track and report benefits data, including participation rates, claims data, and annual cost analysis.
Open Enrollment:
Coordinate and manage the annual open enrollment process, including communication, presentations, and benefits fairs.
Provide support during the open enrollment period, helping employees navigate their options and make informed decisions.
Vendor Management:
Work with external vendors and benefits carriers to resolve issues related to claims, billing, and service levels.
Evaluate and recommend new benefits providers or vendors, as needed, to enhance program offerings.
Record-Keeping and Documentation:
Maintain and update benefits records in HRIS systems, ensuring all changes are reflected accurately.
Handle confidential employee benefits data with the utmost discretion and in compliance with privacy laws.
Qualifications:
Associate's degree required - Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
At least 2-3 years of experience in benefits administration, with a strong understanding of benefits laws and regulations.
Familiarity with HRIS systems and benefits management software.
Strong knowledge of federal and state benefits regulations (e.g., ERISA, ACA, HIPAA, FMLA, COBRA).
Excellent interpersonal and communication skills, with the ability to effectively communicate complex benefits information to employees.
High attention to detail and strong organizational skills.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Professional certification such as CEBS (Certified Employee Benefits Specialist) is a plus.
