Our clients growing Law firm is looking for a highly motivated Legal Secretary for Litigation! The ideal candidate will ensure smooth running of the office and effective case management by providing legal services under the supervision of an attorney and working alongside paralegals. Additionally, the candidate will have strong interpersonal skills and the ability to foster an environment of trust and care for our clients desired outcomes. The Legal Secretary should display excellent organizational skills in with their Business Litigation department.
Essential Functions:
• Have a basic understanding of the factual, procedural, and legal issues underpinning every case.
• Understand the deadlines for each case and manage workflow to comply with deadlines and case needs.
• Have a basic understanding of the work the attorney needs to complete in the next three to four weeks and assistance that can be provided with that work.
• Coordinate legal activities, draft legal documents, manage deadlines.
• Organize and maintain files for the litigation group, keep records up to date; retrieve information as needed.
• Digitally input and maintain information.
• Ability to work overtime, including evenings and weekends (on a as-needed basis).
• Screen all calls for attorney; take accurate messages.
• Process outgoing mail promptly; ensure all attachments and enclosures are
included.
• Receive incoming mail, process, route appropriately.
• Enter attorney and paralegal time into the accounting system.
E-file and file legal documents in state and federal courts, ensuring deadlines are
met.
• Schedule appointments, depositions; reserve conference rooms, equipment, or
platform access as necessary.
Qualifications:
• Proficient in typing accurately and skilled in using office equipment such as a computer, calculator, copier, postage meter, scanner, and fax machine.
• Strong verbal communication and interpersonal skills.
• A minimum of 3 years of experience as a legal secretary.
• Self-motivated, with the ability to work independently on special projects.
• Strong time management and organizational skills.
• Competent in managing various filing systems for different attorneys and groups.
