Legal Secretary & Client Relations Specialist
We are seeking a dynamic and highly organized Legal Secretary & Client Relations Specialist to join our team. This unique position combines the responsibilities of a Legal Secretary, ensuring smooth legal administrative support, with those of a Client Relations Specialist, developing strong relationships with clients and managing inbound leads. The ideal candidate is professional, detail-oriented, and excellent at communication and multitasking.
Responsibilities
Legal Support
Provide administrative support to attorneys, allowing them to focus on substantive legal work.
Manage client communications, trust accounts, and outstanding invoices.
Interact with court personnel and opposing firms with professionalism and accuracy.
Serve as the primary contact for courts regarding scheduling and administrative matters.
Prepare and send client invoices in a timely manner.
Maintain attorney calendars, ensuring logical and efficient scheduling.
Client Relations & Lead Management
Serve as the first point of contact for inbound leads, creating a positive first impression.
Follow the 3X TCE method to reach out to leads and assess their needs.
Screen leads for case viability, ensuring alignment with the firm’s practice areas and jurisdiction.
Assist with scheduling consultations and ensuring intake forms and fees are completed.
Follow up with potential clients to maximize conversion rates.
Build trust with current clients through ongoing communication and support.
Conduct post-consultation follow-ups, client surveys, and relationship-building outreach.
Maintain detailed records of client interactions, ensuring exceptional documentation.
Expectations & Skills
Strong professionalism, confidentiality, and ethical integrity.
Exceptional verbal and written communication skills.
Ability to build relationships with leads and clients to drive conversions.
Proficiency in Microsoft Office and the ability to learn new software quickly.
Organized and detail-oriented with the ability to multitask effectively.
High level of financial integrity when handling client payments.
Sales experience, particularly in a law firm setting, is a plus.
Understanding of and ability to relate to entrepreneurs.
Education & Experience
Associate’s or Bachelor’s degree preferred, or equivalent work experience in a law firm.
Prior experience in legal administration, client relations, or sales highly desirable.
