IT Office Assistant - Bilingual Mandarin

MUST HAVE

-OK with traveling within CA about 20-30%

Job description
• Provide support and coordination on projects, with the ability to quickly re-prioritize to meet deadlines
• Coordinate and schedule meetings based on executive/group availability as needed
• Support Director of Technology on daily basis,
• Ensure event logistics are planned appropriately and in advance of the event
• Distribute and track documents, ensure proper routing/approvals and deliver or file when finalized
• Audit and process expense reports and route for approval
• Works with Finance and Operations to create procurement and purchasing processes
• Ensures appropriate approvals are obtained based on purchase costs and amounts
• Works with management to create annual budgets
• Manages costs to budget and notifies management in the case of unplanned or over budget expenditures
• Demonstrates a strong understanding of accounts payable processes
• Interfaces with vendors regarding procurement and invoicing process
• Works with vendors to resolve discrepancies
• Demonstrates an understanding of capital vs. expense accounting practices
• Analyzes accounts and reports variances monthly
• Processes expense reports for payment by Finance
• Ensures vendor contracts are in place for equipment purchases, hardware, software, subscriptions, and service contracts
• Follows up with vendors to ensure service levels are met
• Reconciles complex invoicing issues to avoid unnecessary costs
• Provides administrative support to support management as necessary
• Ability to work with a very diverse user community, i.e., “people skills”
• Ability to lift/move up to 20 pounds
• Some travel to other sites required

Specific Qualifications/Abilities: The requirements listed below are representative of the knowledge, skill, and/or ability required.

• Bachelor’s Degree or equivalent
• 2+ years of experience in administrative support and relevant work experience in accounting or IT experience is preferred
• Strong understanding of technology terms
• Experience working with Microsoft enterprise agreements and similar technology subscription agreements
• Self-motivated and eager to learn
• Demonstrated troubleshooting ability
• Able to work through various steps to resolve issues logically
• Excellent communications skills, written and oral
• Able to establish a good rapport with management, staff, and vendors
• Strong collaboration and interpersonal skills
• Outstanding time management and organizational skills
• Ability to prioritize and adapt to meet changing needs
• Excellent follow-through skills
• Able to complete projects promptly
• Able to work outside of traditional hours to support events and special projects
