Position Overview:
As an Administrative Assistant, your primary responsibility will be to support the front counter, assisting both internal and external customers through phone, email, and in-person interactions. You will manage various administrative tasks, including processing applications, accepting payments, scheduling appointments, routing calls, and resolving issues while maintaining efficiency in a busy environment. Additionally, you will support the full-time employee who manages the front counter by covering their breaks, lunches, and potential time off.
While covering the front counter will be your primary role, you will also have opportunities to assist with secondary administrative duties, such as data entry, filing, scanning, researching, and redacting records.
Key Responsibilities:
Primary Role (Front Counter Support):
Greet and assist customers at the front counter, providing excellent customer service
Answer incoming calls, respond to emails, and assist walk-in customers
Process applications and accept payments
Schedule appointments and route calls as necessary
Research and resolve customer inquiries and issues efficiently
Multi-task various administrative duties in a fast-paced environment
Provide coverage for the full-time front counter employee during breaks, lunch, and time off
Become familiar with front counter functions over time, though primary coverage will be for breaks and lunch periods
Secondary Role (Office Support):
Assist with data entry, filing, and scanning of documents
Perform research and redaction of records as needed
Maintain organized records and ensure all documentation is up-to-date
Support additional administrative tasks as assigned by the team
Required Qualifications:
Bilingual in English and Spanish (preferred)
Strong interpersonal and communication skills
Ability to handle multiple tasks in a fast-paced environment
Excellent attention to detail and organizational skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Strong problem-solving abilities and a customer-first mindset
Previous experience in an administrative or customer service role preferred
