We are seeking an Office Support Associate to join our team. This role requires strong customer service experience, excellent communication skills, and a professional demeanor. You will be the first point of contact for guests, working closely with security to facilitate the check-in process while providing a welcoming experience.
This position will also serve as a liaison between meeting hosts and guests, ensuring smooth operations and high-quality service in a professional headquarters environment.

? Schedule: Monday to Friday, 8:00 AM – 5:00 PM

Key Responsibilities
• Greet and assist guests upon arrival, validating visitor lists and providing necessary badges or parking validation.
• Collaborate with security personnel to ensure a seamless check-in process.
• Serve as a concierge, providing recommendations for hotels, restaurants, and local points of interest.
• Coordinate meeting room scheduling and ensure proper setup of conference spaces.
• Assist with audio-visual equipment for meetings and events.
• Support office administration by managing signage, workspace preparation, and client travel arrangements.
• Assist in planning company events such as department meetings, group functions, and office gatherings.
• Perform general administrative tasks, including mail handling, copying, shipping, and reception duties.
• Work with executive-level staff to support client-facing initiatives and special projects.
• Vendor procurement and coordination for special assignments.
Required Qualifications
• High school diploma or equivalent.
• 1-3 years in a customer service or administrative role, preferably in a corporate headquarters environment.
• Strong organization and coordination abilities.
• Excellent verbal and written communication.
• Proficiency in Microsoft Office Suite.
• Problem-solving and critical thinking skills.
• Ability to work with minimal supervision.
• Experience handling audio-visual equipment is a plus.
