Entertainment Company is looking to hire Operations Administrator's
**100% In Office Role For First 31 days, Then Hybrid Once Permanent**
•9:30am – 6pm
•Once permanent Tuesday/Wednesday/Thursday (in office) and Monday/Friday (remote)
TECHNICAL/ACCOUNTING SOFTWARE A HUGE PLUS:
•MailChimp or similar software to support small tasks
•Word Press and familiarity with website content management systems (CMS)
•QuickBooks – will do quick entries for invoicing, input expense reports, enter receipts, credit card bills, etc.
COMPUTER SOFTWARE REQUIRED:
•Adobe to edit PDF’s files
•Google Sheets and Google Docs
•Microsoft Word, Excel, Outlook, and PowerPoint
JOB DUTIES:
•Project Support to Office Management with a broad range of administrative and operational support, event planning, social media and system management while contributing to the success of multiple projects and programs.
•Support list management and quality control in MailChimp or similar platforms
•Familiarity with financial reconciliation processes, including willingness to learn bank reconciliation and basic accounting/bookkeeping skills.
•Assisting with event coordination, managing documentation, supporting committee activities, and some website maintenance
•Supporting the monthly financial reconciliation process and contribute to the development and execution of CRM process
•Website Maintenance Support
•Create Tutorials for Website Processes for management as needed
•Create event templates & document step-by-step processes
•Provide some social media support and research and resource gathering for marketing initiative
•Work collaboratively across teams, offering administrative support to leadership, committees, and staff members, while demonstrating active engagement and ownership of responsibilities
•Willingness and ability to learn our membership management platform and system (data entry, coordination, and process creation)
•Nomination Event support organizing and processing event-related documents, volunteers, and coordination of venue details
•Awards Committee support with submission materials, collecting and organizing large volume of nominee information
•Organize and prepare documentation for Controller for monthly Section bank reconciliations
•Mentorship Program administrative Support
•Provide ongoing support for the Education and Outreach Committee to ensure its initiatives run smoothly throughout the year
•Assist with data entry, training, coordination, and the development of CRM processes to ensure efficient system use and management
•Upload and post BOD and Executive Committee meeting recordings, documents, and minutes on the website
•Oversee the submission of the monthly Treasurer’s report and posting of BOM monthly meeting minutes on the Website
SKILLS:
•High level of accuracy in managing reports, meeting minutes, and website content
•ability to support event planning and execution
•Familiarity with financial reconciliation processes, including willingness to learn bank reconciliation and basic accounting/bookkeeping skills
•Team player, collaborative, self-starter, strong written and verbal communication skills for coordinating with teams, external stakeholders, and creating clear documentation
•Strong initiative with the ability to anticipate needs, take ownership of tasks, drive projects forward, think critically and problem solve
