Position Overview: We are seeking an experienced Payroll Specialist with recent hands-on experience using Paychex software to join our growing team. The ideal candidate will play a key role in ensuring accurate and timely processing of payroll for employees, while maintaining compliance with federal, state, and local regulations. Responsibilities:
Payroll Processing: Process bi-weekly/monthly payroll using Paychex software for 100+ employees.
Ensure accuracy and timeliness of payroll processing, including regular and overtime hours, deductions, and bonuses.
Administer garnishments, deductions, and benefit contributions in compliance with company policies and legal requirements.
Paychex Software Management: Leverage Paychex software to input payroll data, run reports, and ensure proper integration with other HR and accounting systems. Troubleshoot any software-related issues and coordinate with Paychex support as necessary.
Stay updated on new Paychex features and functionality to improve payroll processing efficiency.
Compliance & Reporting: Ensure payroll is processed in compliance with federal, state, and local labor laws, including tax withholding, wage laws, and filing requirements. Prepare and submit payroll tax filings (e.g., quarterly, annual) and ensure timely and accurate payments to tax authorities.
Maintain accurate records and audit trails for payroll transactions.
Employee Support: Respond to employee inquiries regarding payroll issues, such as discrepancies in pay, benefits deductions, and time-off balances.
Provide assistance in setting up direct deposits, tax withholding, and benefit deductions in Paychex.
Data Integrity & Recordkeeping: Ensure accurate employee data entry, including new hires, terminations, pay changes, and deductions.
Maintain confidentiality of employee payroll information and adhere to company policies regarding data protection.
Perform regular audits to ensure data accuracy.
Continuous Improvement: Assist in identifying and implementing process improvements to streamline payroll functions.
Collaborate with HR and Finance departments to optimize payroll operations and ensure smooth coordination with other business functions.
Qualifications:
Recent, hands-on experience with Paychex payroll software Strong understanding of payroll processing, tax compliance, and labor laws.
Experience with payroll tax filings and managing payroll discrepancies.
Excellent attention to detail and accuracy in data entry.
Strong analytical and problem-solving skills.
Excellent communication skills, both written and verbal.
Ability to maintain confidentiality and handle sensitive employee information.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
