We are currently seeking a full-time Office Assistant/Receptionist to join our team and manage the front desk with efficiency and professionalism. This role will collaborate closely with the office manager, undertaking various clerical tasks and project management responsibilities.

Key Responsibilities:

Warmly greet incoming vendors or clients, providing a positive first impression of our organization.
Manage incoming calls, directing them to the appropriate staff members promptly and courteously.
Handle various clerical duties such as filing, photocopying, collating, faxing, preparing mail, and documents.
Perform accurate data entry tasks to maintain organizational records.
Monitor and replenish office and breakroom supplies as needed.
Schedule appointments and manage the office calendar effectively.
Handle incoming email and mail efficiently, ensuring timely responses and follow-ups.
Assist with scanning forms and documents for digital record-keeping.
Manage appointment reminders for owners, ensuring they are informed and prepared.
Maintain the overall upkeep and organization of the office environment.
Collaborate with the office manager on various projects, providing support and follow-up with vendors and clients.
Create client notebooks and assist in maintaining a comprehensive history of documents and submissions.

Qualifications and Skills:

Previous administrative/receptionist experience is required.
Proficiency in typing and excellent organizational skills are essential.
Strong proficiency in Microsoft Office applications (Excel, Word, Outlook).
Exceptional communication skills, both verbal and written.
Possess a positive attitude and project professionalism in all interactions.
Ability to multitask effectively in a fast-paced environment.
Personable demeanor, comfortable interacting with customers via phone, email, and in-person.
