We are seeking a detail-oriented Document Specialist to join our team. The ideal candidate will be responsible for preparing documents for scanning, ensuring all materials are organized and ready for digital conversion. This role requires meticulous attention to detail and the ability to handle confidential information with care.
Key Responsibilities:
The Document Specialist will sort and organize incoming mail, ensuring all documents are accounted for and properly categorized. They will remove staples, paper clips, and other fasteners from documents prior to scanning. Operating scanning equipment to digitize documents and ensuring high-quality digital copies is a crucial part of the role. The specialist will review scanned documents for accuracy and completeness, making necessary adjustments. They will enter document information into the database, maintaining accurate records. Organizing and maintaining physical and digital files for easy retrieval is essential. Handling sensitive information with the utmost confidentiality and discretion is required. The specialist will also collaborate with team members to ensure efficient workflow and address any issues promptly.
Qualifications:
A high school diploma or equivalent is required; additional certification in document management or a related field is a plus. Proven experience in document preparation and scanning is necessary. Proficiency with scanning equipment and software is expected. Strong attention to detail and organizational skills are essential. The ability to handle confidential information responsibly is crucial. Excellent communication and teamwork skills are also required.
