Short Description:

A Legal Receptionist serves as the first point of contact for clients and visitors in a law firm or legal department, ensuring a professional and welcoming environment. They manage incoming calls, schedule appointments, and handle correspondence, while maintaining confidentiality and professionalism. Additional responsibilities include organizing files, processing mail, and assisting with administrative tasks to support attorneys and staff. Strong communication skills, attention to detail, and the ability to multitask are essential for success in this role.

Duties / Responsibilities:

  • Operate telephone switchboard to answer, screen, or forward calls, provide information, take messages, or schedule appointments.
  • Greet persons entering the establishment, determine the nature and purpose of the visit, and direct or escort them to specific destinations.
  • Hear and resolve complaints from customers or the public.
  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
  • File and maintain records.
  • Provide information about the establishment, such as the location of departments or offices, employees within the organization, or services provided.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Process and prepare memos, correspondence, travel vouchers, or other documents.
  • Receive payment and record receipts for services.
