Short Description:

A Community Outreach Specialist connects an organization with the communities it serves. They build relationships with community groups, promote programs and services, coordinate outreach activities, and gather feedback to understand community needs. They develop informational materials, participate in events, and help individuals access relevant resources. Strong communication, relationship-building, cultural awareness, and organizational skills are essential for increasing participation, strengthening trust, and supporting effective community engagement.

Duties / Responsibilities:

  • Build and maintain relationships with community organizations, local leaders, schools, businesses, and other relevant partners.

  • Conduct outreach to introduce programs and services, answer questions, and encourage community participation.

  • Gather community feedback and identify needs, participation barriers, and opportunities to improve outreach efforts.

  • Coordinate community meetings, workshops, presentations, and events, including scheduling, materials, registration, and follow-up.

  • Prepare and distribute outreach materials, such as flyers, newsletters, email updates, and social media content.

  • Represent the organization at community events and partner meetings, providing clear and accurate information about its activities.

  • Connect individuals and community groups with appropriate programs, services, or partner organizations.

  • Maintain contact lists, outreach records, attendance information, and follow-up activities in databases or CRM systems.

  • Track participation, engagement, and community feedback; prepare reports and recommend improvements to outreach activities.

  • Support volunteer initiatives, community campaigns, or fundraising activities when these are part of the assigned program.

  • Public Relations and Program Promotion: Understanding of consistent organizational messaging, public awareness campaigns, and communicating program benefits accurately.

  • Event Planning: Ability to coordinate meeting and event logistics, manage schedules, prepare materials, and support participants and volunteers.

  • Written and Digital Communications: Ability to develop newsletters, outreach emails, social media posts, and other accessible informational materials.

  • CRM and Contact Management: Familiarity with systems for maintaining partner contacts, recording interactions, scheduling follow-ups, and tracking engagement.

  • Community Resources and Referrals: Knowledge of relevant local services and the ability to direct individuals to appropriate organizations or programs.

  • Project Coordination: Ability to organize outreach activities, coordinate partners, manage competing priorities, and follow through on commitments.

  • Reporting and Evaluation: Ability to maintain accurate records, summarize participation and feedback, and assess the effectiveness of outreach activities.

  • Program Administration: Ability to maintain documentation and assist with event expenses, invoices, and other administrative tasks when assigned.

  • Volunteer and Fundraising Support: Familiarity with volunteer coordination or fundraising activities may be preferred when these responsibilities are included.

  • Professional Judgment and Confidentiality: Ability to handle sensitive information appropriately, respond respectfully to concerns, and follow organizational procedures.
