Short Description:

A Receptionist is responsible for greeting and assisting visitors, answering phone calls, and directing inquiries to the appropriate department or individual. They manage appointment scheduling, maintain office supplies, and handle administrative tasks such as filing and data entry. Receptionists also ensure that the office environment is welcoming and organized. Strong communication, multitasking, and customer service skills are essential for success in this role.

Duties / Responsibilities:

  • Operate telephone switchboard to answer, screen, or forward calls, provide information, take messages, or schedule appointments.
  • Greet persons entering the establishment, determine the nature and purpose of the visit, and direct or escort them to specific destinations.
  • Transmit information or documents to customers using a computer, mail, or facsimile machine.
  • Hear and resolve complaints from customers or the public.
  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
  • File and maintain records.
  • Provide information about the establishment, such as the location of departments or offices, employees within the organization, or services provided.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Process and prepare memos, correspondence, travel vouchers, or other documents.
  • Receive payment and record receipts for services.
